Introduction
The Irish Ramblers Club (IRC)  respects each individual’s right to personal privacy in accordance with the General Data Protection Regulation 2018. 

Collection of Information

We collect information through our website at several points.  From primary visitors (non-members), who are expressing an interest in becoming IRC members, we collect:

  • their name
  • e-mail address
  • phone number(s).  

 

The same pieces of information are collected from visitors to our site who have submitted the information voluntarily and who wish to be contacted by the IRC.

The following extra pieces of information are collected from IRC members when they join and then annually when renewing membership and paying their subscription :

  • postal address
  • Mountaineering Ireland membership number (where applicable)
  • emergency contact details
  • preferred grade for hikes
  • activities in which the member is willing to help

 

The Club also notes and keeps information about each individual’s:

  • current membership type [Full/Associate/Life]
  • membership year
  • type of payment made [Credit card/EFT – note we do not hold credit card details].

 

The data is collected by members of the IRC Executive Committee, and is controlled by the Data Controller, who is the IRC Webmaster.

Retention of Information

The IRC will only keep information for as long as necessary, and only for the primary purpose for which it was obtained.

Off-line records (i.e. not held on the website) are retained of the membership as registered in each former year. The member’s name, membership class and contact details, but not payment details, are retained either in electronic or printed document form. These records are valuable as a contribution to the institutional memory of the club and for remembering the contributions made by long-standing members. They may also be necessary for insurance purposes. We retain these records in a secure manner, use them for the intended purposes only and do not share them with third parties. If a member would prefer that their name is not saved to long-term storage at the end of a current year, they should write to the Membership Secretary to indicate this.

Use and Disclosure of Information

Information collected on the IRC website is used solely for:

  • the management of club related activities
  • communications to members.  

 

When you become a member of or renew your membership with the Irish Ramblers Club, you will automatically be registered as a member of Mountaineering Ireland. We will provide Mountaineering Ireland with the personal data which they will use to enable access to an online portal for you (www.mountaineering.ie – Login). This will enable you to sign into and update your Mountaineering Ireland details (which, among other things allows you to update your details and enter digital log of climbs/walks and avail of discounts on the online shop). It is vital, therefore, that a valid email address is given, so that you can ensure that your data is correct and so that you can set your own privacy settings.

If you have any questions about the continuing privacy of your personal data when it is shared with Mountaineering Ireland, please contact dataprotection@mountaineering.ie.

In particular, information collected from prospective members is used solely to facilitate contact with the IRC to further membership application, while information collected from those wishing to contact the IRC is used solely to facilitate contact to be made.

The information we collect will not be used to create customer profiles based on browsing of purchasing history.  We will not supplement information collected at our website with data from other sources.

The IRC will only disclose information to third parties who are acting on our directions, such as Mountaineering Ireland and our email campaign provider, or where such disclosure is required by law.  No disclosure of information will be made to any third parties for those third parties’ own purposes of use.

From time to time members will take photographs or videos of club related activities which may subsequently be published in The Rambler, on the website or on social media. These will not be made available to any third parties for those third parties’ own purposes of use. The IRC regularly checks the WhatsApp group to ensure that all participants are current club members.

We offer links to other websites from our website.  Please note: when you click on links to other websites, we encourage you to read the privacy policies of those websites.  Their standards may differ from ours.

Cookies

The IRC website uses cookies.  Cookies are described as small pieces of information that are stored by your browser on your computer’s hard drive to enable that computer to know when you are visiting a particular website.  They are widely used in order to make websites work, or work more efficiently, as well as to provide information to owners of the site.  The IRC may use cookies to store information on your computer.  This information may help us to identify if you are registered with the site, and shortcut your access through the site.  We will only read cookies from your cookie file placed there through your web browser’s interaction with the IRC website.

The website offers you options in regard to the cookies you are prepared to allow be placed on your computer. Some necessary cookies are always switched on. Necessary cookies are absolutely essential for the website to function properly. This category only includes cookies that ensure basic functionalities and security features of the website. These cookies do not store any personal information.
